How to load MARC records for Digital Theatre Plus

Currently, the record files are being emailed to administrators on a quarterly basis. Records may also be available for download at https://www.digitaltheatreplus.com/education/subscription-resources.

 

New records:

  • Open file in MarcEdit.

  • Go to Tools > Current Tasks > Digital Theatre Plus - DEN (This will add an EZProxy prefix, update the 856$z, and add a 949$l field for the Denison item. ** See the MarcEdit task details below.)

  • Add a 910 field with identifying note and current date (e.g. dtp-20180828)

  • Review material types by selecting Reports > Material Type Reports > Generate Reports We may need to load with a leader, as material type for “encyclopedia entries” and “practical guides” should be ebooks (.pdf files). If leader doesn’t have sufficient coding for material types, we will have to create a review file and update material types manually.

  • Save file and compile to MARC

  • In Sierra, go to Data Exchange

  • Select Process = Load records via locally created load profiles (local)

  • Click Get PC

    • Browse desktop to select the MARC file

    • Upload

    • When prompted to rename, remove the .mrc extension and select the .lfts extension from the dropdown menu

    • Click OK

  • Select the .lfts file and click Prep

  • Click Start

  • Select the .lmarc file and click Load

  • Select LOAD a SVIDEO file

  • Check the “video” load profile for the following:

    • ov_action=“d” (so item records aren’t created for overlays)

    • #com=“dflt”@dflt=“densv,conrei” (so Denison bib is created)

    • If there is sufficient information in the leader for material types, uncomment the following lines in order to load with the leader

      • L|| |7|1|b| |29|n|N|0|bib lvl

      • L|| |6|2|b| |30|n|N|0|%map=("m2bmap.streaming")

      • If the leader can’t be used, make sure the leader lines above are commented out.

    • 001 = as is

    • 856 = no proxy

    • Uncomment this line if loading new records:

      • |||0|0| | |0|n|G|0|@link="i:1:949"

  • If loading mixed material types without a leader, check Use Review Files

  • Click Test - these are likely to be a mix of inserts and overlays.

  • Click Load

  • Spot check a few of the records in both staff and public displays

 

If the record file contained mixed material types, but a leader could not be used, complete the following steps to change the material type for .pdf files from “streaming video” to “ebook”:

  • Go to Create Lists

  • Highlight an appropriately sized empty list, click the Copy icon

  • Select the “Load: Inserted records…” review file

  • Find another empty list and click Search Records

  • Name the review file (e.g. Digital Theater Plus .pdf)

  • Store record Type = Bibliographic

  • Select Review from the dropdown menu and select the “Load: Inserted records…

    • Type = Bibliographic

    • Field = MARC tag > 245

    • Condition = has

    • Value A = Encyclopedia entry

    • (Append line)

    • Operator = OR
    • Type = Bibliographic

    • Field = MARC tag > 245

    • Condition = has

    • Value A = Practical guide

    • (Search)

  • Spot check the results to ensure that they’re .pdf files

  • Go to Global Update

  • In the Index dropdown, select Review and find the Digital Theater Plus .pdf file

  • Click Search

  • Under the Command input tab, click Add

  • Select Change fixed-length field, and click OK

    • Fixed-length field = 30 MATYPE

    • Find = <any>

    • Replace = n EBOOK

  • Click Preview to review changes

  • If change is appropriate, click Process

  • Go back to Create Lists to spot check the changes

  • Repeat this process for the “Load: Overlaid records…” file

  • Once confirmed, log the load in CONSORT MARC Record Loads.

Deletes:

  • In Sierra, go to Data Exchange

  • Select Process = Load records via locally created load profiles (local)

  • Click Get PC

    • Browse desktop to select the MARC file

    • Upload

    • When prompted to rename, remove the .mrc extension and select the .lfts extension from the dropdown menu

    • Click OK

  • Select the .lfts file and click Prep

  • Click Start

  • Select the .lmarc file and click Load

  • Select LOAD a SVIDEO file

  • Check the “video” load profile for the following:

    • ov_action=“u” (The “u” value [reject] keeps us from creating a new record)

    • 001 = as is

    • 856 = no proxy

    • Comment out this line: #|||0|0| | |0|n|G|0|@link="i:1:949”

 

  • Click Test (If load table is correct, files should be shown as “OVERLAYED”)

  • Check the “Use Review Files” box (We’ll need the review file to make the deletions)

  • Click Load

  • Select the Create List function from the dropdown list. Find an empty list between 300 and 310 with the capacity to contain the number of records loaded (see Max Records column).

  • With empty list highlighted, select the Copy icon, and find the desired file in the list. Overlaid files will be grouped together near the end of the options. Once found, click OK.

  • It’ll ask if you want to remove the file being copied from. Click Yes.

  • Highlight the file, and select Global Update from the Function dropdown.

  • Under the “1. Select Records” tab on the left, use the dropdown menu to select Review. Use the dropdown menu for “Review file” to select the file (the number will match the list number you created), then click Search.

  • Click the “2. Command input tab”, select Change fixed-length field, and click OK.

  • Double-click the Fixed-length field box, select Suppress, and click OK.

  • The Find box option should remain <any>.

  • Double-click the Replace box, select y DELETE, and click, OK.Click OK to close the Command input window.

  • Under the “3. Preview” tab, click Process.

  • Once confirmed, log the load in CONSORT MARC Record Loads

  • Once complete, clear the processed file from the Review File listing by highlighting the file, and clicking the Empty icon.

 

The delete files will be processed by an automated function that will submit the titles to Summon for removal from their database. Records are deleted manually from Sierra on Mondays using the “Delete from Summon” list.
