Ohio Wesleyan University is a selective, private, undergraduate liberal arts, residential institution founded in 1842 and located just 20 miles north of Columbus, is seeking candidates for the position of Assistant Director, Alumni Events & Experiences. Job Summary:

The Assistant/Associate Director, Alumni Events & Experiences will manage and execute all aspects of on-campus and high-level regional signature events including: Homecoming & Family Weekend, Reunion Weekend, holiday gatherings, regional campaign/presidential tour events and other events designed to promote alumni engagement with the University. This position will also oversee virtual experiences.

These events are an entry point for many alumni, families, and friends to be reconnected with Ohio Wesleyan and/or support the continued cultivation of relationships. This position plays a vital role ensuring our constituents have a meaningful, positive, and engaging experience that fosters greater support of the institution.

Responsibilities and duties:  

Event Management & Oversight:

  • Oversee, plan, and execute high-level on campus multi-day events including Homecoming & Family Weekend and Reunion Weekend for the 900+ alumni, families and friends that attend, as well as other smaller on campus, regional, and virtual events and experiences.
  • Manage the budget, registration process, constituent experience, communication/print needs, and data and list segmentation associated with events.  
  • Manage relationships and collaborate with cross campus and off-campus partners to ensure all details of advancement events from location, food and beverage, security, travel, facilities and IT needs are met
  • Create and maintain event website pages, event calendars, and other necessary event management/communications.
  • Oversee the Bishop Box program which supports alumni planned events in their communities.
  • Supervise an undergraduate event intern that will be responsible for supporting the work of the alumni engagement office and events.  

Data Analysis and Continuous Improvement

  • Responsible for the management and facilitation of the Alma base event database and registration system.  Work with internal partners to manage data syncing and enhancements that occur in the registration system by creating, testing, and providing solutions to the functionality and design of the platform. Support the training of other team members using event database
  • Develop event feedback mechanisms, analyze ROI and make recommendations for improvements and efficiency
  • Collaborate with other team members to ensure event experiences and best practices are being followed and offer insight and guidance. 

Factors contributing success:   

  • Bachelor's degree or at least 3 years of significant event planning experience
  • Strong customer service skills and the ability to interact personally with a diverse group of constituents both in-person, on the phone and online
  • Superior project coordinating, organization skills, and attention to detail
  • Experience working in an alumni/donor/customer database to include query tools, problem solving and report generation.
  • This role requires the ability to work a flexible schedule to include pre-planned evenings, weekends and occasional travel


  • Experience managing and executing events and strong multi-tasking and time management skills to prioritize many events at one time
  • Previous experience with Raiser's Edge or other Blackbaud database system.
  • Familiarity with Ohio Wesleyan University or other liberal arts institutions is a plus.
